Identify the attendance dependencies

List the unit contact, building representative and any separate system contractor whose attendance is needed. Record which areas each person can open and whether an escort is required. Ask the maintenance contractor to identify dependencies that cannot be settled from the available drawings or equipment list.

The plan should name a booking contact and an alternative. It should not contain private guest, tenant or staff information that the maintenance team does not need.

Ask how unsuccessful access is treated

  • What notice is needed to coordinate the relevant teams?
  • How are unavailable areas recorded?
  • Does a partially completed visit use one of the included visits?
  • How is return attendance priced?
  • Who confirms that the remaining work has actually been completed?

Close the visit without losing unfinished work

Request a report separating completed work, untested equipment and observations needing another party's decision. A booked visit is not evidence that every device was accessible. Give outstanding items a responsible contact and a follow-up status.

In a building with several tenants, use the same booking format for each unit but retain separate access constraints. Do not promise that every business can remain unaffected by testing. The qualified site team must agree the testing arrangements and any applicable safety controls.
