A repair quotation should be traceable to a specific maintenance finding. When an Ajman AMC starts with outstanding defects, use an authorisation register to show what has been quoted, what has been approved and what has actually been completed. These are different milestones.
Start with the finding reference
Record the report date, equipment reference and contractor's description. Keep the technical assessment and any urgency advice attached to the entry. Procurement staff should not downgrade a safety concern because a repair is awaiting a purchase order.
Where the site has an impairment or urgent fault, follow the established escalation process while the commercial paperwork is handled.
Give each decision its own field
- Quotation reference and scope.
- Parts, labour and attendance included.
- Person authorised to approve expenditure.
- Approval date and any conditions.
- Completion evidence and remaining actions.
An approved quotation does not demonstrate that work has happened. A completed visit also does not necessarily demonstrate that every original finding has been resolved.
Manage partial completion visibly
If one quotation covers several items, ask the contractor to identify which have been completed and which remain open. Record any revised scope instead of overwriting the original description. If a return visit or another specialist is needed, retain the dependency beside the outstanding item.
The register helps the facilities team manage purchasing and records. It must not become a reason to delay action on an unsafe condition, and it does not replace the contractor's technical report or the site's safety procedures.
